This privacy policy explains how Landmark Global France collects, uses, shares, and retains your personal data when you visit the ColisExpat website, create an account, or use the ColisExpat services. It also informs you of your rights and how to exercise them.
1. Purpose and scope of this privacy policy.
ColisExpat is a parcel reception and forwarding service operated by Landmark Global France, a company of the Bnode group.
Landmark Global France acts as data controller for the processing of personal data described in this policy.
In this policy, the terms “ColisExpat,” “we,” or “our” refer to Landmark Global France when it operates the ColisExpat services.
In an increasingly digital world, Landmark Global France must collect and process personal data in order to provide the products and services it offers.
This Privacy Policy explains, in general terms, how Landmark Global France collects and processes your personal data when you use its services, including those marketed under the ColisExpat brand.
2. Who is the data controller?
The data controller is:
Landmark Global France (operating under the ColisExpat trademark), a French simplified joint-stock company (Société par Actions Simplifiée) with capital of 8,727,137 euros, registered with the Trade and Companies Register of Bobigny under number B832165310, with its registered office located at 110bis Avenue du Général Leclerc, Bâtiment 18/1, 93500 PANTIN, France.

The data controller determines the purposes and means of processing personal data. Data is processed in connection with operating the website and providing the ColisExpat services, in particular account creation, the receipt, management and forwarding of parcels, billing, user support, and securing the services.
3. What personal data do we collect, for what purposes, and on what legal bases?
Categories of personal data, purposes, and legal bases.
The categories of personal data, the purposes, and the legal bases for processing are detailed below.
We mainly collect your data:
- directly from you, in particular when you create an account, place an order, arrange a forwarding request, make a payment, or contact customer service.
- from merchants, senders, recipients, carriers, and logistics partners involved in receiving or delivering a parcel.
- from payment and fraud-prevention providers.
- automatically when you use the site, by means of cookies, connection logs, and similar technologies.
- where applicable, in connection with the migration of a previously used service, such as Shopîles, subject to specific information provided to the individuals concerned.
As a general rule, Landmark Global France does not collect personal data from minors. Landmark Global France’s products and services are not intended for minors, and the entity does not promote or market its products or services to that category of the public. If you believe that we have collected and used personal data relating to a minor without a valid legal basis or outside the service’s terms of use (given by a person competent and authorized to do so), please let us know via the contact form (see point 12: “How can I contact Landmark Global France?“) so that we can immediately delete this data from our systems and make the necessary corrections.
If we intend to use your personal data for a purpose other than the one for which it was collected, we will provide you with the required information beforehand and, where the law requires it, obtain your consent.
3.1. Provision of services.
We process your data for the provision of parcel reception and forwarding services, in particular for:
- the creation and management of your ColisExpat account;
- the assignment of your customer reference and receiving addresses;
- the receipt, identification, registration, storage, consolidation, repackaging, and forwarding of your parcels;
- the validation and, where necessary, correction of addresses, as well as cross-checking them against information available in our operational systems;
- the calculation of applicable fees and the management of your forwarding instructions;
- the tracking, routing, and delivery of parcels;
- the management of payments, invoices, and refunds;
- the completion of customs, tax, and regulatory formalities;
- the handling of returns as well as unidentified, refused, or unclaimed parcels.
Personal data.

- Postal details (as provided directly by the data subject, including the delivery and billing address).
- Contact details such as email address and phone number.
- Information relating to mail items or parcels sent as part of ColisExpat's postal and parcel delivery activities.
- Transactional data such as information about products or services purchased, bank account number, VAT number, and business registration number.
- Account-related data: login ID, customer reference, password, preferences, and account history;
- Parcel-related data: tracking number, sender, merchant, recipient, country of origin and destination, weight, dimensions, value, and declared contents;
- Customs documents, purchase invoices, and supporting documents required for shipping;
- Data relating to payments, refunds, and Off Tax operations,
- Where applicable, photographs of parcels taken during receipt, identification, or repackaging.
Legal bases.
When you create an account or use the ColisExpat services, this processing is necessary for the conclusion and performance of the contract entered into with Landmark Global France.
When the data relates to a person other than the account holder, such as a recipient, a sender, or the representative of a business customer, its processing is based on Landmark Global France's legitimate interest in organizing and carrying out the requested service.
The processing necessary for issuing and retaining invoices, tax and customs declarations, and cooperation with the competent authorities is based on legal obligations.
3.2. Handling your inquiry.
To process your question, communication, or request and, where applicable, respond to it (for example, to provide you with the information requested about ColisExpat's services), in connection with a quote request or an offer, for support and incident management relating to ColisExpat's services, as well as for general customer management.
Personal data.
- Identification data and contact details such as name, email address, phone number, and customer reference.
- Any other information necessary to process your request.
- Information arising from your interactions with ColisExpat, such as the content of emails and complaints.
- Data associated with your exchanges with customer service (such as the requester's identification data, contact details, the subject and content of communications, the dates of exchanges, as well as any information necessary to process and follow up on the request, in particular file, order, or parcel references).
Legal bases.
When your request relates to your account, an order, a payment, or a shipment, the processing is necessary for the performance of the contract.
For general requests made before a contract is concluded, the processing is necessary to take steps at your request prior to entering into a contract.
For other requests and for monitoring the quality of customer service, the processing is based on Landmark Global France's legitimate interest in responding to users, following up on requests, and improving its support.
3.3. Improving the ColisExpat website and services.
In order to assess and improve the quality of its services and the user experience, ColisExpat may invite its customers to take part in satisfaction surveys, in particular after an order.
Surveys may be sent by email or through messaging services. Participation is optional. Where responses are not anonymized, they may be linked to the customer's account or order in order to follow up on their feedback.
For example, by collecting feedback through satisfaction surveys, market research, or call recordings, and by better understanding our customers' lifestyles in order to design services, products, or marketing campaigns tailored to their needs and expectations.

- If not anonymized, we collect information arising from your interaction with ColisExpat, such as your responses to satisfaction surveys.
Legal bases.
This processing is based on ColisExpat's legitimate interest in assessing and improving the quality of its website and its services.
3.4. Tracking notifications.
To inform you about the delivery of your parcel, ColisExpat uses your contact details, in particular your email address and phone number, to send you tracking notifications.
These specify the delivery status, the expected date, the location, and any action required (for example, payment of customs duties and processing fees).
They also allow you to track the delivery arrangements chosen when your parcels were shipped. Their purpose is to reduce failed deliveries due to the recipient's absence, to help you better organize receipt, and to improve both the efficiency of our services and your experience as a customer.
In certain cases, you may also receive a notification by phone when this is necessary for the proper routing or management of the shipment.

- Parcel-related data (tracking number, shipment references, declared contents where applicable).
Legal bases.
When notifications are necessary for the management, tracking, or delivery of a parcel, the processing is based on the performance of the contract entered into with the account holder.
When the notification is sent to a recipient who is not themselves a party to the contract, the processing is based on the legitimate interest of Landmark Global France and the account holder in ensuring delivery of the parcel.
3.5. Advertising.
To send, by mail, phone call, email, or through the ColisExpat services, personalized or non-personalized advertising relating to ColisExpat's products and services, and to display personalized or non-personalized advertising on the ColisExpat website.
ColisExpat may also use social networks and other online platforms to show its customers personalized advertising relating to its services, based on their browsing behavior collected by means of cookies or similar technologies.

- Technical and browsing information such as data relating to your use of the ColisExpat website, IP addresses, information about the device used, language preference on the site, pages visited, and interactions with advertising campaigns.
- Derived information, namely data that ColisExpat may infer from your use of the site and your browsing behavior, such as services or content that may interest you.
- Preferences relating to receiving commercial communications and the use of cookies.
Legal bases.
This processing is based on Landmark Global France's legitimate interest in promoting ColisExpat's products and services, in particular where advertising is sent by mail or, under the conditions set out by applicable regulations, relates to services similar to those already provided to its existing customers.
Where required by law, your consent will be obtained.

This processing is based on your consent, obtained through the cookie banner, in accordance with applicable regulations.
The use of cookies or similar technologies for personalized advertising, ad targeting, or campaign measurement purposes is based on your consent, obtained through the cookie management banner. You can change or withdraw your consent at any time using the cookie management tool available on the site.
3.6. Informational or operational messages.
ColisExpat may send you informational or operational messages relating to its services, for example messages relating to:
- the operation or availability of the site, the account, or the ColisExpat services.
- changes to the terms of use, the terms of service, or pricing.
- legislative, regulatory, tax, or customs changes that may affect the use of the ColisExpat services or the routing of parcels.
- steps users need to take to continue using their account or certain services.
- the security of the account or the services.

- Data relating to the ColisExpat account, such as the customer reference, language of communication, and services used, when this information is necessary to determine which users are affected by the message.
Legal bases.
When Landmark Global France is bound to the data subject by a contract and the communication is necessary for the provision or use of the ColisExpat services, the processing is based on the conclusion or performance of that contract.
When the communication is not strictly necessary for the performance of the contract, the processing is based on Landmark Global France's legitimate interest in informing users about the operation, evolution, and security of the ColisExpat services, as well as any risks that may affect them.
3.7. Promoting ColisExpat.
In order to promote its services, ColisExpat may republish or highlight positive reviews and comments that you post on social media, its website, or public customer review platforms.
Personal data.
- Identification data such as name, first name, pseudonym and, where applicable, location.
- Information arising from comments, reviews, or posts, as well as the profile photograph when it accompanies the republished review.
Legal bases.
This processing is based on Landmark Global France's legitimate interest in promoting ColisExpat's services based on positive feedback from its customers.
3.8. Management of professional contacts.
ColisExpat's services may be used by individual or business customers. The personal data of business customers is processed under the same conditions as that of other users.
When the user acts on behalf of a company, ColisExpat processes their professional data in order to manage the account and the relationship with the company, provide the requested services, and comply with applicable regulatory, accounting, or tax obligations, in particular with regard to intra-Community VAT.

- Company-related data where applicable (such as company name, company address, or VAT number).
- Data relating to the account, orders, shipments, billing, and exchanges with ColisExpat.
Legal bases.
- This processing is based on the performance of the contract as well as on compliance with the legal obligations to which Landmark Global France is subject.
3.9. Corporate structure operations.
As part of the evolution of its services and the organization of its activities, Landmark Global France may consolidate or migrate personal data between the various brands, services, or platforms it operates.
As such, data initially collected in connection with one service or brand may be transferred to another service offered by Landmark Global France, where necessary to ensure the continuity of an equivalent service requested by the user.
For example, data collected in connection with the Shopîles service was migrated to the ColisExpat platform in order to allow the users concerned to continue benefiting from the parcel reception and forwarding service.
The data concerned may include any information necessary for the continuity of the service, in particular:
- Identification data;
- Contact details;
- Data related to user accounts;
- Data relating to orders, shipments, or billing.
Legal bases.
This processing is based on Landmark Global France's legitimate interest in organizing its reorganization operations, developing and growing its activities, and carrying out the migrations necessary between its services or platforms, while ensuring continuity of the services offered to users.
Where the transfer of certain data is necessary to allow the user to continue benefiting from the service they have subscribed to, this processing is based on the performance of the contract entered into with Landmark Global France.
3.10. Fraud prevention and dispute management.
ColisExpat processes personal data in order to prevent, detect, and address fraud, abuse of its services, and threats to the security of its accounts, transactions, and shipments.
This processing may in particular be carried out in order to:
- Detect fraudulent use of an account or a means of payment.
- Verify compliance with restrictions applicable to goods and shipments.
- Prevent attempts at fraud, identity theft, or misuse of the ColisExpat services.
- Carry out checks where a transaction, payment, or shipment presents a risk or an anomaly.
- Establish, exercise, or defend Landmark Global France's rights in connection with a claim, a debt collection, a dispute, or an administrative or judicial proceeding.
Where necessary to examine a suspected case of fraud, ColisExpat may ask the user to provide additional information or supporting documents, including a form of identification where this measure is necessary.

- Data relating to the account and its use, such as login information, IP address, security logs, and actions taken from the account.
- Data relating to orders, payments, refunds, parcels, and shipments, such as transaction and shipment references, and information relating to the merchant, the carrier, the declared contents, the value, and the destination of the parcel.
- Information and documents provided in connection with a verification, a claim, a debt-recovery attempt, or a dispute.
- Data from identification documents provided where necessary for identity verification.
Legal bases.
This processing is necessary to comply with the legal obligations to which Landmark Global France is subject. In the absence of such an obligation, it is based on Landmark Global France's legitimate interest in preventing and detecting fraud, ensuring the security of its services, verifying users' identities, and defending its rights in legal proceedings.
3.11. Verification of your identity.
In certain situations, ColisExpat may ask you to provide a copy of a form of identification:
- in order to verify your identity and allow you to use certain receiving platforms, in particular the platform located in Germany.
- when such a document is required by a carrier or a competent authority for the completion of customs or regulatory formalities relating to a shipment, in particular for certain sea shipments to the French overseas departments and territories (DROM-COM).
- in order to draw up or transmit, where necessary, a power of attorney or another document required for customs clearance or the routing of the parcel.
A form of identification is only requested where such verification or transmission is necessary for the service concerned. The form indicates whether providing it is mandatory as well as the possible consequences of a refusal.
Where the form of identification contains a photograph, it is used solely for visual verification of your identity. It is not processed by means of a facial recognition system or any other biometric identification technology; the processing of this photograph therefore does not fall within the scope of Article 9 of the GDPR.
Before transmitting the form of identification, you may hide or make illegible any information that is not necessary for the verification or the purpose concerned. ColisExpat limits its processing to the data strictly necessary for the purpose pursued.
Personal data.
A copy of the form of identification and the data it contains, such as first and last name, date and place of birth, photograph, nationality, document number, issue date, expiry date, and the issuing authority.
ColisExpat also processes the outcome of the verification, in particular the fact that your identity or your access to the platform concerned has been validated or refused.
Legal bases
Where the verification, collection, or transmission of the form of identification is necessary to provide the requested service, in particular to allow access to a receiving platform, customs clearance, or the routing of a parcel, the processing is based on the performance of the contract entered into with the user.
Where the collection or transmission of the form of identification is required of Landmark Global France by a legal or regulatory provision, the processing is based on compliance with that legal obligation.
3.12. GDPR.
Landmark Global France processes your personal data in order to manage and respond to requests you make in connection with exercising your rights, in accordance with the General Data Protection Regulation (GDPR).
This processing may include, where necessary, the search, review, collection, modification, or deletion of data in ColisExpat’s information systems in order to respond to your request. For more information about your rights, you can refer to the dedicated section of this Privacy Policy (see point 11).

- Information deemed necessary to verify your identity.
- Any details you provide in your request.
Legal bases.
This processing is necessary to comply with the legal obligations to which Landmark Global France is subject, particularly with regard to the protection of personal data. Where applicable, it may also be based on Landmark Global France's legitimate interest in ensuring complete and appropriate handling of data subjects' requests.
4. ColisExpat account.
To use ColisExpat's services, it is necessary to create a user account. This account allows you to be identified and secures access to your personal data, as well as the management of your shipments.
In this context, ColisExpat processes certain personal data to enable user authentication and management of access to the platform.
Depending on the services used, different identification methods may be implemented, in particular based on login credentials (such as email address and password)

5. Use of data for commercial purposes.
ColisExpat may use your contact details to send you news, tips, and offers relating to its services.
Where you sign up to the newsletter without already being a customer, sending commercial communications by email is based on your consent.
Where you are already a customer, ColisExpat may, under the conditions set out by applicable regulations, send you email offers relating to services similar to those you have already used. You can object to this when your address is collected and at any time thereafter.
Every commercial communication contains a simple way to unsubscribe.
Subject to your consent, ColisExpat may also use cookies or similar technologies to measure its campaigns and display personalized advertising on third-party platforms such as Google (including YouTube) or Meta (Facebook, Instagram).
No commercial communication is sent to users without complying with applicable regulations.
ColisExpat intends to give users appropriate control over the use of their personal data. Accordingly, users may at any time choose to accept or decline the use of cookies for advertising purposes via the cookie banner settings, and change their preferences.
Legal bases.
Processing related to the use of cookies for advertising purposes is based on your consent, obtained through the cookie banner.
Other processing may, where applicable, be based on Landmark Global France's legitimate interest in promoting its services and improving the user experience, while respecting the rights and freedoms of the individuals concerned.
6. Does Landmark Global France use your personal data for profiling or to make automated decisions?
ColisExpat does not systematically engage in automated decision-making within the meaning of Article 22 of the General Data Protection Regulation, meaning decisions based exclusively on automated processing that produce legal effects or similarly significant effects for users.
This would apply, for example, to a case where a decision to accept or decline a service was made solely by an automated system without human intervention.
In providing its services, ColisExpat nevertheless uses automated processing to ensure the proper functioning of its logistical and technical operations. This processing may include in particular:
- Applying rules related to shipping conditions (for example based on weight, dimensions, or destination country);
- Optimizing parcel management (for example, selecting suitable packaging solutions);
- Automating certain technical tasks (such as managing shipments, accounts, or internal alerts).
- This processing has no legal or significant impact on users and is necessary for the proper functioning of the services.
7. Who do we share your personal data with?
In connection with the purposes referred to in point 3, Landmark Global France may use service providers that process personal data on behalf of, and for the account of, Landmark Global France. These providers may be third parties or other Bnode entities. In such cases, these providers act as processors. In particular, Landmark Global France may use companies providing the following services: hosting and ICT (Information and Communication Technology) services, marketing and market research services, logistics services, and archiving services. The list of these processors depends on our day-to-day operations and the processing activities concerned, and can be obtained upon simple request.
Landmark Global France may share business data of customers and suppliers, as well as personal data of the personnel of those customers or suppliers, with other Bnode entities for business purposes, meaning to improve collaboration and integration between the various Bnode entities, to discuss future business strategies, to negotiate agreements, to offer more streamlined and customer-oriented solutions, to share business insights and opportunities, and to collaborate more closely with other Bnode entities on activities such as joint purchasing, combined or joint offers, or cross-selling efforts.
This is based on Landmark Global France’s legitimate interest in aligning with future business strategies with Bnode entities, strengthening Landmark Global France’s competitive position by enabling it to prepare a tailored, competitive offer for its customers, better preparing for contract negotiations, discovering new business opportunities and insights, and achieving cost savings by cooperating with other Bnode entities (Bnode Organizational Structure).
Landmark Global France may also transfer your personal data to consultants and professional service providers acting as data controllers, such as lawyers, accountants, and auditors. Your personal data may also be transferred to third parties in connection with a restructuring transaction such as a spin-off, merger, or acquisition.
As a postal operator, Landmark Global France SA is a member of the Universal Postal Union (UPU) [https://www.upu.int/en/home]. We share data with other member organizations to support the delivery of our services worldwide and to help improve postal and logistics services through international collaborative projects.
Universities may occasionally request certain personal data that is not directly identifiable for academic research purposes. In such cases, we ensure compliance with GDPR requirements before sharing any data.
We may also exchange business-related data with third-party business information providers.
Landmark Global France may also disclose your personal data to third parties where required by law or pursuant to a request or order from the authorities.
Where required by law, Landmark Global France will obtain your consent before disclosing your personal data to third parties. Landmark Global France will not rent or sell your personal data to third parties unless you have given your specific consent to do so.
8. Is your personal data transferred to countries located outside the European Economic Area?
In providing its services, ColisExpat relies on a network of logistics partners with facilities for receiving, storing, and shipping parcels, including facilities located in Germany, Italy, Spain, and France. This processing is carried out within the European Economic Area.
However, due to the international nature of the services offered, ColisExpat ships parcels to many countries around the world. As such, we may need to transfer personal data to service providers or partners located outside the European Economic Area.
These transfers may occur, in particular, in connection with the use of services provided by international partners (such as technical service providers, cloud platforms, payment services, or logistics partners), or in connection with the international shipment of parcels (including from the United Kingdom, the United States, or other destination countries).
In certain cases, data may also be transmitted to administrative or judicial authorities where required by law, particularly in connection with the customs and tax obligations applicable to international shipments.
When data is transferred to countries located outside the European Economic Area, ColisExpat ensures that such transfers are carried out in accordance with applicable regulations and implements appropriate safeguards, including:
- A transfer to a country covered by an adequacy decision of the European Commission (for example, the United Kingdom or, where applicable, the United States under applicable frameworks);
- The use of standard contractual clauses approved by the European Commission with the relevant service providers;
- The implementation of additional technical and organizational measures where necessary to ensure a level of protection equivalent to that guaranteed within the European Economic Area.
For transfers to countries considered not to offer an adequate level of protection (referred to as "third countries"), Landmark Global France puts in place additional safeguards, such as entering into the European Commission's standard contractual clauses, which ensure that personal data receives protection equivalent to that offered within the European Economic Area.

9. How long do we keep your personal data?
As a general rule, Landmark Global France retains your personal data only for as long as necessary for the purposes described, taking into account applicable statutory retention and/or limitation periods.
Personal data relating to customer accounts is retained for the entire duration of the contractual relationship, and then for a maximum of 5 years from the last contact with the user.
Personal data related to billing is retained for 10 years from the close of the financial year to which it relates, in accordance with applicable legal obligations.
Personal data relating to requests made to customer support is retained for a maximum of 5 years from the last contact with the user.
Authentication data necessary for account access is retained for the entire period the account is active.
Security logs are retained for a maximum of 1 year.
Personal data relating to user feedback is retained for a maximum of 24 months, after which it is deleted or anonymized.
Beyond these periods, data may be archived on an interim basis to meet legal obligations or in the event of a dispute, and then deleted or anonymized.
For standard accounts, copies of identification documents are retained only for as long as necessary for their verification, which may take up to 2 business days from when the document is uploaded. The copy is deleted as soon as verification is complete, whether it results in validation or refusal.
Where a form of identification must be transmitted to a carrier or a competent authority, it is deleted as soon as this transmission is complete, unless there is a legal obligation to retain it.
Only the date, purpose, and outcome of the verification may be retained for the entire period the account is active, and then for 3 years from the last recorded activity on it, without retaining a copy of the document.
10. What data security measures does Landmark Global France implement?
Landmark Global France takes technical and organizational security measures to protect your personal data against destruction, loss, alteration, unauthorized access, or misuse. This includes measures to limit access to personal data as much as possible and to grant it only where necessary. Employees with access to data are informed of their data security obligations. Security measures are regularly reviewed and adapted to ensure an appropriate level of protection.
Copies of identification documents are subject to enhanced protection measures, including access restricted to authorized staff only, storage separate from other account data, and automated deletion in accordance with the retention periods defined in point 9.
11. What are your rights regarding your personal data?
Under the General Data Protection Regulation (GDPR), you have the following rights:
- Right of access – You have the right to access the personal data that Landmark Global France processes about you and to obtain a copy of it (subject to certain exceptions).
- Right to rectification and erasure – You have the right, at any time, to have your personal data corrected or deleted free of charge by Landmark Global France, provided that the legal conditions are met. Personal data that Landmark Global France needs to fulfill ongoing orders, or that it is legally required to retain, cannot be deleted.
- Restriction of processing – You may require Landmark Global France, subject to applicable legal requirements, to restrict the processing of your data.
- Right to data portability – Under certain conditions, you have the right to portability of the personal data you have provided.
- Objection – You may object to processing for advertising purposes or to processing based on Landmark Global France’s legitimate interest. You may do so even without justification for the processing of personal data for direct marketing purposes. It may take up to 30 days for your objection to be fully applied across all of our databases, meaning you may still receive certain communications during that period.
- Withdrawal of consent – If Landmark Global France processes your personal data based on your consent, you have the right to withdraw it at any time. However, such withdrawal will not affect the lawfulness of the processing of your personal data carried out before the withdrawal, or the lawfulness of processing based on another legal basis.
